Using laptop for engineering report writing

A structural engineer report is a document that informs the interested party about a certain project or a technical process. Engineers prepare such a document every time they start working on a new design, plan, or construction. Students of technical faculties are also dealing with reports during their studies to learn to prepare them properly for a real job. The paper has to be organized and written neatly and carefully to make it easy for the reader to find the section he or she is looking for.

Formal engineering report format

If you have just started working for a company, it is also recommended to specify the format for engineering reports, as well as the structure and how to make a report in general to meet the organization’s requirements. We also offer you to stick to these main formatting rules:

  • Use relevant headings and subheadings to guide the reader. Outline the paper before writing in order to make the headings consistent.
  • Sentences should be short and simple. Long run-on sentences make any report incomprehensible.
  • Include graphs and charts for better visualization in Appendix. Also, remember that you should refer to any piece of visual material in your text.
  • Correctly cite all the quotes and sources you use.

Engineering report structure

The outline of every every report depends on various factors such as the purpose of writing, the information you want to convey, and the target audience. However, there is a frequently used outline that you can copy:

  • Cover page.
  • Executive summary - briefly goes over the main points.
  • Table of contents - guides the reader through the work with the enumerated list of headings and subheadings.
  • List of figures and tables - indicates where charts, figures, and tables are located in the document.
  • Introduction - reveals the purpose of writing and gives necessary background information.
  • Body - describes and analyzes the project in detail.
  • Conclusion & Discussion - show the key points and discuss any errors or limitations of the project.
  • References - present sources that were used during the paper completion.
  • Appendices - include all of the data, graphs, tables, maps, and other materials that were helpful but were too bulky to present in the text.

It is crucial to pay special attention to the executive summary of the paper, as most of the readers will not go further that section. It has to be very concise and to the point to make your audience familiar with the whole paper in a few minutes.

Even though most of the audience that reads such reports has a technical background, the body of the paper may include a theory section that explains the main terms and processes. It may also inform about equipment and materials that have been used in a project to make every detail in your document clear.

How to write an engineering report?

  • Your report has to be very specific and precise. You need to inform your readers of research results in a clear manner so that they clearly understand its purpose.
  • Be very discreet with the literature on the topic. All the sources have to be credible e.g. from reputable journals, books, or websites.
  • Use visual materials to represent important findings. However, keep them simple so that the reader can get all the essential information without putting too much effort into it.
  • Proofread your paper in order to make sure that all the points are clear. Typos and mistakes make your paper sound unprofessional and may confuse the reader. It is also a good idea to ask someone well-versed in the engineering sphere to proofread your report.
  • Make sure that all the information is easy to comprehend for your target audience. Do not use jargon or complex terminology if your readers will likely be unfamiliar with it.

Sometimes, you will have to send a transmittal letter with your report to address it to a certain person and raise his or her awareness about a project. Such a letter should include basic personal information and can present the important data that did not make it to the main paper.

The significance of writing an engineering report

Most of the things we got used to seeing in everyday life are made by engineers. These are people with ingenious minds who understand how to apply the technical knowledge and create magnificent things that help people evolve and survive.

However, a great part of their work would be impossible without ordered records, precise calculations, and communication with other specialists. That is the reason technical reports are so important. They keep all of the processes safe and documented so that engineers can do their work confidently and properly, and trainees can understand how the real project execution goes.

Engineering report writing is a hard but extremely important task. While learning and preparing such works, engineers understand how to present a project and cover all of the important information professionally. These papers help teachers see what students are missing in their descriptions, measurements, and calculations to prevent serious mistakes in the future when they implement their ideas and designs.

Civil engineering report

One of the hardest and the most responsible works is writing reports on civil engineering. People who work in this sphere design, construct, and maintain buildings, bridges, roads, and everything else that will serve people every day. Therefore, their work has to be very precise, as even the tiniest error can have drastic outcomes.

Reports allow every part of the crew that is involved in a project of this kind to get familiar with the goals, plans, and methods that will be used during its implementation. These documents help each member of the team do his or her part of the job as required, and assure the authorities that all of the calculations and details are correct. Writing a technical report for engineers is not easy indeed. However, it is one of the things that keep the technical world in balance.
